Some service work takes longer than one workday. With Multi-day appointment, enter the hours needed and let DX1 carry the work into the next working period. DX1 skips nights, breaks, and days off so you can see when the scheduled work will finish.

What is a Multi-day appointment? It is an optional way to schedule an appointment using working hours. You can also use it for work that finishes the same day but crosses a technician’s break.

Multi-day appointments help you do the following:

  • Plan longer jobs around a technician’s work schedule.

  • Check the finish date and time before saving.

  • Move the appointment when plans change without re-entering the work hours.

  • Adjust the scheduled work hours by resizing the appointment.

In this document, we will cover the following topics.

3. Example of a Job That Spans a Weekend

1. How to Schedule a Multi-Day Appointment

a. Open a new appointment or edit an existing one.

b. Choose the technician who will do the work. If you leave the appointment unassigned, DX1 uses the days and hours shown in your dealership’s service calendar.

c. Select the Multi-day appointment checkbox. This option is off by default.

d. Choose the start date and time. Start during the technician’s working hours, outside their break and days off. For an unassigned appointment, start during the dealership calendar’s working hours.

e. Enter the work hours needed in Duration. For example, enter 10 for a job that needs 10 hours of work.

f. Check End beneath the start date. DX1 shows the finish date and time. If you change the start, duration, technician, or checkbox, check the updated End.

g. Review the calendar for conflicts, then save. DX1 must confirm the finish before saving. If it cannot, review the start, duration, and work schedule before trying again.

2. How DX1 Uses Working Hours

a. With a technician selected, DX1 counts their working hours and skips their break and days off.

b. If a normally closed date has been opened for work in the technician’s schedule, DX1 can use that date too.

c. Without a technician selected, DX1 uses the working days and display hours in the dealership’s service calendar. It does not subtract a technician’s break.

d. DX1 does not work around appointments already booked. Those appointments do not push the finish later, so always check for conflicts.

e. The work must fit within 90 calendar days of the start. If it does not, review the hours entered and the work schedule.

3. Example of a Job That Spans a Weekend

a. A technician works Monday through Friday, 8:00 AM to 5:00 PM, with a lunch break from noon to 1:00 PM. There are no extra days off or added working dates.

b. You schedule a 10-hour appointment to start Friday at 3:00 PM.

c. DX1 counts 2 hours on Friday and skips the weekend.

d. The remaining 8 hours fit on Monday, excluding lunch. End shows Monday at 5:00 PM.

e. Duration stays at 10 work hours, even though the appointment stretches from Friday afternoon to Monday afternoon on the calendar.

4. How to Move an Appointment

a. Drag the appointment to the new start date and time or to another technician.

b. DX1 keeps the same work hours and updates End using the new start and technician’s schedule.

c. If you move it to an unassigned schedule, DX1 uses the dealership calendar’s working days and hours.

d. Choose a start during working hours, then check the new finish and any conflicts. A change cannot be saved if DX1 cannot confirm the finish.

5. How to Adjust the Scheduled Work Hours

a. Resize the appointment on the calendar to make it longer or shorter.

b. DX1 counts the working hours within the period you select and updates Duration.

c. If you drag the end into a break or closed period, DX1 moves it back to the end of the preceding working period.

d. Check Duration and End to make sure they match the work you intend to schedule.

6. How the Appointment Appears on the Calendar

a. The appointment appears as one event from its start through its finish. It includes nights, breaks, and days off on the calendar, but those periods do not count toward the work hours.

b. You will see the appointment in any calendar date range it overlaps.

c. An overlap warning tells you that another appointment falls within that full start-to-finish period. The warning can include a break or closed period.

d. Overlap warnings do not prevent saving or add time to the appointment. Review the warning and decide whether the schedule needs to change.

7. What Happens When Schedules Change

a. Changing a technician’s schedule or the dealership calendar settings does not automatically move appointments already saved.

b. To update an appointment for a changed work schedule, edit it with Multi-day appointment selected. DX1 updates the finish using the current schedule.

c. If Multi-day appointment is off, the duration runs straight through from the start, including breaks and closed hours. Existing appointments continue to work this way unless you turn the option on.

d. End is always shown, but you cannot type a finish into it. Change the start or duration and let DX1 update End.

8. That's it and Support

That’s it! Choose the start, enter the work hours, and check End before saving. When plans change, move or resize the appointment and review the updated finish.
