Web Lead Timer

Overview

The Web Lead Timer feature helps dealerships respond to internet leads in a timely manner by automatically re-assigning unresponded leads. This ensures prompt customer follow-up and balanced workload distribution.



How It Works

1. Timer Setup

  • Set a lead response timer per lead source in the Internet Feeds configuration.

  • The timer option only appears if two or more users are assigned to a lead source.

  • Valid timer options: 15, 30, 45, 60, or 120 minutes.

  • To activate this feature, set the web lead timer to on in the preferences







2. Timer Activation

  • When a new lead is assigned from a timed source, a red sand clock icon appears in the notepad.

  • Hovering over the icon displays:
     ? “This lead will be re-assigned at [DATE TIME] unless responded to.”






3. Response Criteria (Actions That Stop the Timer)

Any of the following actions will stop the timer and keep the lead assigned:

  • Sending an email

  • Sending a text

  • Making a call

  • Marking a workflow step (e.g., status update)




4. Time-Sensitive Notifications

  • toast and text message will notify the current lead owner 5 minutes before reassignment.

  • If the timer expires with no response, the lead is automatically re-assigned according to the Round Robin (RR) rules.




5. Reassignment Logic

  • The reassignment process either:

    • Calls the RR coordinator and re-processes the lead according to RR rules

  • The reassignment process will:

    • Preserve original lead dates

    • Log a comment indicating why the lead was reassigned

    • Notify:

      • The previous lead owner

      • The new lead owner

      • The manager



6. Repeat Reassignment

  • The system will keep re-assigning the lead until someone responds.

  • Each reassignment will follow the same logic and include appropriate notifications.



7. New Lead Notification Message

Timed leads receive an enhanced notification:

You’ve been assigned a new lead.
 
If you do not respond before [DATE TIME], it will be automatically re-assigned.




8. Business Hours Handling

  • The timer respects dealership business hours.

  • Example:

    • Timer = 60 minutes

    • Lead received at 5:30 PM

    • Dealership closes at 6:00 PM, reopens at 8:00 AM

    • New reassignment deadline = 8:30 AM next day
