Gift Cards are a great way to improve customer retention and to increase overall Dealership revenue
Given 80% of customers spend more than the value of their gift card when using one, they are more likely to pay full retail. Use gift cards for store credit instead of refunding cash for returned items. In addition, dealerships can create promotional strategies to entice customers back to the storefront when things get back into full swing!

1) Selling a Card
To sell or add value to an existing Gift Card, from a parts invoice in the part number field type “giftcard” (do not put a space between the words when adding to the invoice). Then in the Unit Extension field enter in the value of the card
Note: You may add additional parts to the invoice if you wish, but you can only add one Gift Card per invoice
Once everything is added take a payment as normal then click Complete Sale
A Gift Card popup box will appear asking you to enter the number of the Gift Card you wish to add the value to, you may either manually key in the number or use your barcode scanner to scan the barcode on the card. Once the number is entered click the "Add Value to Card" button.
Note: You can not use a credit card terminal to swipe a gift card.
A confirmation message will be displayed showing you the value was added to the card and the cards new available balance.
If you have a thermal receipt printer set up a Gift Card receipt will print
Once you close the Gift Card Confirmation message the invoice will complete as normal
2) Redeeming Value from a Card
You may use a Gift Card like any other Method Of Payment to take a payment on any invoice type
From the "Method of Payment" list simply select "Gift Card", enter the payment amount and click the "Payment" button.
A Gift Card popup box will appear asking you to enter the number of the Gift Card you wish to redeem value from, you may either manually key in the number or use your barcode scanner to scan the barcode on the card. Once the number is entered click the "Confirm" button.
Note: You can not use a credit card terminal to swipe a gift card.
A confirmation message will be displayed showing you the value was successfully redeemed from the card and the cards new available balance.
If you have a thermal receipt printer set up a Gift Card receipt will print
Once you close the Gift Card confirmation message the payment will be reflected on the invoice
3) Checking a Cards Balance
To see the available balance click on the Gift Card icon in the upper right hand corner of the screen
A Gift Card popup box will appear asking you to enter the number of the Gift Card you wish to check the balance of, you may either manually key in the number or use your barcode scanner to scan the barcode on the card. Once the number is entered click the "Check Balance" button.
Note: You can not use a credit card terminal to swipe a gift card.
A confirmation message will be displayed showing you the cards current available balance.
If you have a thermal receipt printer set up a Gift Card receipt will print
Once you close the Gift Card confirmation message you will be back to the page you started from
4) Gift Card Limitations
- You can only sell one Gift Card line item per invoice
- A Gift Card Sold Qty is set to 1 and can not be changed
- A Gift Card amount (Value) cannot be negative
- You cannot input a S/O or Lwy Qty for a Gift Card line item
- There is no sales Tax charged on Gift Card sales
- Invoices that include Gift Cards cannot be charged to a Major Unit
- Invoices that include Gift Cards cannot be added to a Service Invoice
- Gift Card sales will not be included on the Parts Sales or Revenue reports because money collected for Gift card sales can not be counted a recognized revenue until the card is redeemed
- You can add a Gift Card to a Major Unit deal under a Requested Parts invoice
- You can add a Gift Card on a Return Part Invoice, this is handy if you want to give a credit to a customer instead of refunding the money
- You can not return a Gift Card (you can return other items on the invoice, just not the Gift Card)
- If you uncomplete an invoice that includes a Gift Card you will NOT be able to edit the Gift Card line item
- If you void a parts invoice that includes a Gift Card it will void the original Gift Card purchase transaction so requires that the card still has the FULL value, if not it will give an "Insufficient Funds" error.
- You can not void a parts invoice that contains more than one Gift Card
