  1. Navigate to your User Initials in the top right corner of DX1.
  2. Select Dealership Settings from the right hand navigation menu

3. From the left hand navigation menu, select Time Clock.


4. From the Time Clock page: use Time Clock at the top of the page.


Once both Time Clock and Technician Time Clock have been enabled, you will need to setup each technician with a passcode in order to use Technician Time Clock.  

*If the technician is already using your dealerships hourly Time Clock within DX1 you can skip steps 5-9.


Setting up your technician passcode

5. While still in Dealership Settings, navigate to Time Clock from the left hand navigation menu.


6. Type in the name of the User you want to setup, and select the Search button, or Enter from your keyboard.


7. From the grid, select the desired User.


8. Have the Technician enter a unique passcode that they will remember. This will be used each time they clock-in and/or clock-out from a job.


9. Select the Save button.


*Complete steps 8 and 9 for each technician that will use the Technician Time Clock feature.

We realize that your dealership may have both “Hourly” and “Flat Rate” technicians. Please follow the steps below to manually enter hours worked onto repair orders for technicians  who will not be using the Technician Time Clock feature.


If all of your technicians will use the Technician Time Clock feature, skip steps 10-15.

Setting up your technician access permission


10. Navigate to your User Initials in the top right corner of DX1.

11. Select Users from the right hand navigation menu.

12. Type in the name of the user you want to exclude from using Technician Time Clock and select the Search button or Enter from your keyboard.

13. From the grid, select the desired user.


14. Uncheck the setting for Technician Time Clock.

15. Uncheck the setting for Edit Technician Time Clock.

*By default this will only be checked for Manager Roles.

*By enabling this checkbox you are giving the employee the ability to edit the Technician Time Clock.

16. Select the Save button.


Now that you have your Dealership and Technicians setup to use Technician Time Clock, you are ready to take advantage of this feature.  In this next section we will cover how to use Technician Time Clock both as a technician and a manager.  As a Technician you will have two options for clocking-in and clocking-out.

Technician Usage

17. From the Left Hand Navigation

18. The DX1 Dashboard, navigate to and select the Service Sales tile


19. Search for and select the Repair Order you would like to Clock-In on


20. Once you have the Repair Order open, select the Labor tab for the job that you want to Clock-In on.


21. Select the Time Clock icon next to the Technician

22. Enter your personal unique Passcode


23. Select the OK button or press Enter on your keyboard


24. Select the Clock-In button


You will be clocked-in and the Technician Time Clock Detail will automatically close



Once your work is complete or you are at a stopping point you will need to Clock-Out.  

To Clock-Out you will follow steps 17-24.  Step 25 will now have a Clock-Out button instead of the Clock-In button shown in step 24


25. Select the Clock-Out button


You will be clocked-out and the Technician Time Clock Detail screen will automatically close

In addition to the ability to Clock-In and Clock-Out from a Repair Order we have added a new Technician Time Clock tile on the Dashboard.  

This new tile will allow you, as a Technician to view all of the Repair Orders you have been assigned to in once place.


*The new Technician Time Clock tile is meant to be used for Clock-In and Clock-Out functionality only, you cannot access the Repair Order from this tile.


26. Navigate to the New Technician Time Clock tile


27. Enter your personal unique Passcode


28. Select the OK button or press Enter on your keyboard


29. As a Technician, once you have entered your passcode you will see each Repair Order that you have been assigned too


30. From the Technician Time Clock Job List screen you are able to Search By:

  1. Customer/RO# (default)

  2. Job Name

  3. Manufacturer

  4. Model Name

  5. Technician

  6. Service Writer

  7. VIN/HIN/SN


31. In addition you can filter the list by Status:

  1. All (default)

  2. Complete

  3. In-Progress

  4. Partially Complete

  5. Waiting on Parts



32. You can also filter by Warranty R.O.’s



33. Once you have identifies the Repair Order you would like to work on, select anywhere in the line to Clock-In


34.  Select the Clock-In button


You will be clocked-in and the Technician Time Clock Detail will automatically close



Once your work is complete or you are at a stopping point you will need to Clock-Out.

Manager Usage - Editing Clock-In and Clock-Out Time and Date

We realize that accidents happen, technicians may forget to Clock-In or Clock-Out of a job from time to time and you need the ability to make adjustments quickly.  This section will cover how to edit both Clock-In and Clock-Out Time and Date 


36. From the Left Hand Navigation

37. The DX1 Dashboard, navigate to and select the Service Sales tile


38. Search for and select the Repair Order you would like to edit the Clock-In or Clock-Out Time or Date



39. Once you have the Repair Order open, select the Labor tab for the job that you want to Clock-In on.


40. Select the Time Clock icon next to the Technician


41.Enter your personal unique Passcode


42.Select the OK button or press Enter on your keyboard


43. You will notice that there is no Clock-In button


44. To edit the In Date or Out Date select the desired field with your mouse, enter the desired In Date or Out Date and press the enter or tab key on your keyboard to exit the field and save the change

45. To edit the In Time or Out Time select the desired field with your mouse, enter the desired In Time or Out Time and press the enter or tab key on your keyboard to exit the field and save the change

  3. HH:MM (military hours)


46. When you are done editing the In Date or Out Date, In Time and Out Time make sure that you have exited the edited field (this will ensure that your changes are saved) and select the Cancel button


Printing



If a printed copy of the Clock-In and Clock-Out records for the Job is a part of your dealership process, you can print a detail of the Job from the Technician Time Clock Detail screen


47. Select the Print button


In addition to the ability to edit both Clock-In and Clock-Out Time and Date from a Repair Order we have added a new Technician Time Clock tile on the Dashboard.  This new tile will allow you, as a Manager to view all Repair Orders with Technicians assigned to in once place.

      1. Number of hours the technician was allocated to jobs in the selected Date range

    5. Actual Hours Worked:

      1. Number of hours the technician clocked-in and out on jobs in the selected date range

    7. Technician Cost:

      1. Hourly rate for the technician 

    8. Total Cost:

      1. Total of the technichans rate multiplied by actual hours worked

    9. Total Labor Billed:

      1. Total of the labor rate for the job multiplied by total hours allocated to the Technician

    10. Total Labor Profit:

      1. Total of the profit made on the job, total Labor Billed minus the Total Cost
